Restaurant Leakage Control: Every Rupee Accounted For

Every person signs in with their own PIN, every discount, void and cancel has a name and a reason, and cash is counted at every shift. Unusual activity is flagged for you automatically.

Where restaurants quietly lose money

Unexplained discounts, bills voided after payment, items cancelled after the KOT, and cash that doesn’t match at night. Dineligent stops these with role-based permissions, manager approval on the spot, cash control at every shift and an audit trail that can’t be edited.

Every person signs in with their own PIN

  • Each staff member gets a 4 to 6 digit POS PIN. Easy PINs like 1111 or 1234 are refused.
  • PINs are checked on the device, so sign-in works with no internet
  • 5 wrong PINs lock the device for 1 minute, and each further lock doubles the wait, up to 1 hour
  • The POS locks back to the PIN pad after 5 minutes without use, keeping the open order as it was
  • One person can have different roles at different outlets

Roles that show only what each person can do

Five roles come ready: Owner, Manager, Cashier, Captain and Kitchen. Build your own, such as Senior cashier or Store keeper, from 14 permissions. Buttons a person can’t use are hidden, so a captain sees Request bill instead of Bill.

Manager approval right on the counter

When someone tries something above their role, a Manager approval dialog opens instead of a refusal. A manager on the device enters their PIN, the action goes through, and the audit log records who did it and who approved it. No phone calls, no shared passwords.

Cash control at every shift

Billing needs an open shift with an opening cash count. Pay-ins and payouts, such as paying the milk vendor, are recorded with a reason. At shift close, Dineligent shows the expected cash:

LineExample
Opening cash₹2,000.00
+ Cash sales₹14,350.00
− Cash refunds₹250.00
+ Pay-ins₹500.00
− Payouts₹300.00
+ Cash tips₹120.00
Expected in drawer₹16,420.00

The cashier enters the counted cash and sees the difference live: Cash matches, Short by ₹5.00 or Over by ₹20.00. A large difference raises an alert for the owner.

Day close and the Z-report, even offline

A manager closes the business day once no orders are left open. The Z-report prints with sales, GST by rate, payments by mode, voided bills, and expected, counted and variance cash. Each outlet sets when its business day starts (5 AM by default), so late-night bills count for the right day. It all works offline. Offline POS

An audit log that can’t be edited

Every sensitive action is recorded with what happened, by whom, when and who approved it: discounts, voids, reopened bills, cancels after KOT, free items, price changes, cash in and out, shift and day close, credit limits, PIN resets, removed devices and stock returns. Entries can’t be edited or deleted.

Data and device security

  • Lost tablet? Revoke it from the dashboard and it stops syncing at once
  • Sign-in and device tokens are kept in the device’s secure storage
  • Card numbers and CVV are never captured
  • Customer phone numbers are masked for staff without permission, and never written to logs
  • Each business’s data is kept separate in the cloud at the database level

Leakage control questions

How does Dineligent stop staff from giving unauthorised discounts?

Cashiers can give up to 10% with a reason. Anything above needs a manager PIN on the spot, and every discount is recorded with who gave it and who approved it.

Can staff delete or void a bill without the owner knowing?

No. Voids and reopens are manager-only, need a reason, keep the invoice number, and appear in the audit log, the Discounts and voids report and the leakage alerts.

How does the shift cash count work?

Dineligent works out expected cash from opening cash, cash sales, refunds, pay-ins, payouts and tips. The cashier enters the counted cash and the difference shows live.

Can I close the day without internet?

Yes. Shift close, day close and the Z-report all work offline.

Can I create my own staff roles?

Yes. Start from the five default roles or build your own from 14 permissions, and give one person different roles at different outlets.

Can the audit log be changed?

No. Audit entries can only be added, never edited or deleted.
